Count statuses
This article lists the six statuses an inventory count can be in, what triggers a transition, and what can or cannot be done in each status. The status space is the same for every kind of count — full, cycle, spot, or event-driven. Status labels match what the operator sees on the screen.
On the count screen the statuses form a five-slot bar; the last slot is shared by the two closing statuses and shows either Completed or Cancelled. Note that Cancelled is the only terminal status — even a completed count can still be cancelled. The count moves through the statuses in step with the phases of the client-side flow and the PDT counting flow.
Draft (DRAFT)
Entered when the count is created and is still being planned. The scope (the area to count and the owner filter), the executors, and the inventory count type can all change freely — see Planning the count. The prepared counting tasks are already visible on the executors' terminals, but counting has not started and nothing is blocked in the warehouse yet.
In this status you can: edit any planning field, or cancel cleanly.
Transitions out: In Progress when an executor presses Start inventory («Почати інвентаризацію») on the PDT; Cancelled if abandoned before counting starts.
In Progress (IN_PROGRESS)
Entered the moment the operator presses Start inventory («Почати інвентаризацію») on the PDT. The scope is locked — the planning fields are no longer editable — and the covered zones are taken out of normal work: operations there are blocked, and goods in the covered cells can no longer be moved. No quantities have been entered yet.
Transitions out: Entering Results the moment the first quantity is entered — on the PDT or in the client app; Cancelled.
Entering Results (ENTERING_RESULTS)
Entered the moment the first counted quantity is entered — on the PDT or directly in the client app. This is where the counting itself happens: operators walk their routes, scanning cells and products and entering the quantities they find — see Counting cells. The system compares every entered quantity with the records, and critical discrepancies can send the affected cells back for an automatic recount — see Reviewing discrepancies.
The status ends when the operator presses the finish button — the white check mark in a black circle at the top right of the screen (Confirm inventory).
Transitions out: Completed — when the finished count matches the records, and also for a blind count with differences: a blind count closes after a single «Підтвердіть інвентаризацію» ("Confirm inventory") confirmation and never visits Pending confirmation; Pending confirmation — for an assisted or variance count that finishes with differences, after the operator answers Yes to the «Підтвердіть розбіжності» ("Confirm discrepancies") prompt; Cancelled.
Pending confirmation (PENDING_CONFIRMATION)
Entered when an assisted or variance count is finished with discrepancies present: the finish button brings up the «Підтвердіть розбіжності» ("Confirm discrepancies") prompt, and the first Yes answer moves the count here. A count with no discrepancies skips this status entirely and closes straight into Completed — and so does a blind count even with discrepancies: it closes after a single confirmation, and its differences go straight to the review in the client app (see Reviewing discrepancies).
The discrepancy list now waits for the final decision — the causes and comments are reviewed in one batch or position by position, as described in Approving the results. While the count sits in this status, the stock records remain untouched. Returning to a position with a deviation reopens the work: the count drops back to Entering Results, and after the next finish it either closes (no deviations left) or lands here again.
Transitions out: Completed when the operator confirms the discrepancies a second time; Entering Results when a deviated position is returned to; Cancelled.
Completed (COMPLETED)
Entered after the second confirmation of the discrepancies — or directly, when a finished count matches the records or a blind count is confirmed once. The approved discrepancies have adjusted the stock, each correction written to the movement journal; the blocks on the counted zones are lifted; the discrepancy report and the adjustment acts are available — see Adjusting stock and reporting.
A count that closed with discrepancies gets the Has Variance («Має розбіжності») mark automatically at completion — counts that found problems stay easy to filter out later.
Completed is not the end of the road: the count can still be cancelled even after completion.
Transitions out: Cancelled — the only status reachable from here.
Cancelled (CANCELLED)
The only terminal status. Entered when the count is cancelled — possible from every other status, including Completed. A count cancelled before its results were approved leaves the stock records untouched; any blocks on the covered zones are lifted; the count itself is preserved for audit but no longer affects anything.
Cancelling a completed count reverses its effect — the corrections it posted are rolled back. Two consequences to know about:
- the cancellation is refused if rolling back the posted surpluses would drive any stock below zero — such a count stays completed;
- a count scoped to a single cell takes its verification back with it: if the cell's count status was set by this count, the cell gets the Count required status again (see Cell state).
Transitions out: none — terminal.
